We are seeking an Administrative Specialist to join our team at Skyway Memorial Gardens where we offer a friendly and supportive work environment. As an Administrative Specialist, you are responsible for professionally greeting our client families on the phone and in person, accurately complete and maintain client paperwork, and process payments. Your work is critical to our ability to provide a source of support, guidance, and direction to client families before, during, and after the loss of a loved one. 

  • Provides customer service in the sales of pre-priced cemetery goods and services, utilizing the cemetery software – CRM & HMIS.
  • Assists in the scheduling of installation of memorials, both inside and outside installations.
  • Maintains files associated with memorial sales and service.
  • Performs routine clerical tasks such as answering telephones; routing messages; uses office machines as required such as a, computer workstation, calculator, photocopier/scan/fax, and other standard office equipment.
  • Communicates with Memorial vendors to obtain pricing and sizes available, ordering of Memorials for stock and from contracts PIF.
  • Tracking of Memorial inventory.
  • Runs Memorial Reports from cemetery software.
  • Maintains Memorial logs and estimated delivery dates/times.
  • Property verification of installed memorials.  
  • Inspect all delivered memorials for accuracy of design, quality, craftsmanship, and possible damage.
  • Prepare work orders and coordinate installation of memorials with the cemetery Superintendent and grounds staff.
  • Review and approve invoices from delivered memorials.
  • Occasional assisting and communication with families for the design/timeline of their loved one’s memorial.
  • Processing of Veteran paperwork for Veteran memorials.
  • Ensures required documentation to support requested products and services are accurate and complies with company rules
  • 1+ years of administrative support experience
  • Proficient in MS Excel, Word, Outlook and PowerPoint
  • Ability to work well in a team based environment
  • Ability to learn new software and conduct new tasks
  • Professional communication and organizational skills
